This policy explains what personal information Armon Systems collects through this website, why we collect it, how long we keep it, and how you can ask us to delete it. It covers this marketing website only. The Terra application is governed by the agreement between Armon Systems and the customer organization.
This website does not collect protected health information (PHI). Do not include patient names, medical record numbers, or any other patient information in the contact form or in an email to us.
What we collect
We collect information in two ways.
Information you give us
When you submit the contact form we collect the fields you complete: your full name, work email address, organization, and, if you choose to provide them, your phone number and a message. We also receive the IP address the request came from, which is used for rate limiting and abuse prevention and is not stored with your enquiry.
Information collected automatically
Our hosting and content delivery providers process standard request data such as IP address, user agent, and the page requested, in order to serve the site and protect it from abuse. We do not use advertising trackers, cross-site tracking pixels, or session-replay tools, and this site does not set cookies for analytics or marketing.
Why we use it
- To respond to your enquiry and, where relevant, discuss a Terra trial.
- To keep the site available and defend it against automated abuse.
- To understand which pages are useful, in aggregate and without identifying you.
We do not sell personal information, and we do not share it with third parties for their own marketing.
How long we keep it
Contact form submissions are delivered to our sales mailbox by email. We retain them for up to 24 months from your last contact with us, after which they are deleted unless you have become a customer and a separate agreement governs the record. Server and delivery logs are retained for a maximum of 90 days.

These providers act on our instructions and are not permitted to use your information for their own purposes. Data is processed in the United States.
Your choices
You can ask us to give you a copy of the personal information we hold about you, correct it, or delete it. Email info@armonsystems.com and we will respond within 30 days. If you asked us to get in touch and then change your mind, tell us and we will remove your details.
Security
The site is served over HTTPS only. The contact endpoint validates and rate-limits every submission, authenticates to our email provider using managed identity rather than shared secrets, and does not write your enquiry to a database. Access to the sales mailbox is limited to the people who need it.
Children
This is a business-to-business site. It is not directed at children and we do not knowingly collect information from anyone under 18.
Changes
If we change this policy we will update the date at the top of this page. Material changes will be described here rather than made silently.
